Using the Main Hall
These terms apply to every reservation of the Main Hall. You are asked to accept them when you submit a request.
Partly agreed. Fees, food, alcohol and approval below are the centre’s confirmed terms, from the Facility Rental Application. Anything still shown in [square brackets] — the deposit amount, the cancellation terms, the capacity and the liability section — has not been agreed, and the liability section must be read by someone qualified before it is relied upon.
Making a reservation
- A request is not a booking. Submitting one does not reserve the hall and does not create a rental agreement. A reservation exists only once the centre has approved it in writing.
- Approval is subject to availability, review by OM Hindu Center, payment of any required fees and deposit, and signing a Facility Rental Agreement where one is required.
- Requests must be made at least 3 days in advance, and no more than 12 months ahead. The booking calendar enforces both.
- The hall is booked in periods shown on the reservation page, all within the 8am to 10pm window.
- Your period includes the time you need for setting up and clearing away. Please allow for both when choosing.
Payment
- The hall is $50 per hour and may be booked between 8am and 10pm.
- The shortest booking is four hours. Anything over eight hours is charged as a whole day at $400 rather than by the hour.
- A cleaning fee of $100 may apply, depending on the event.
- Eligible nonprofit organisations and OM Hindu Center team members receive 25% off the rental fee. The cleaning fee is not discounted.
- A security or damage deposit may be required. [The amount is set for each booking and has not been fixed as a standard figure.]
- Payment is by cheque, cashier’s cheque or approved electronic payment. There is currently no way to pay on this website.
- The full amount is payable once your request is approved. Someone from OM Hindu Center will contact you to arrange it.
- The reservation is confirmed only once payment is complete. Until then the date is held for you but not guaranteed.
Cancellation and refunds
- Cancelled more than [30] days before the date — [full refund / refund less an administration fee of $X].
- Cancelled between [30] and [7] days before — [X%] refunded.
- Cancelled fewer than [7] days before — [no refund].
- If the centre has to cancel your booking, you receive a full refund. [State whether the centre may need to reclaim a date for a religious observance, and how much notice would be given.]
- Refunds are returned by the same method the payment was made and may take several working days.
While you are using the hall
- Please remove footwear where indicated, and dress modestly — this is a place of worship as well as a hall.
- The maximum number of people permitted is [capacity]. This is a fire-safety limit and cannot be exceeded.
- Alcohol is strictly prohibited. None may be brought onto, served, consumed or distributed anywhere on OM Hindu Center premises. There are no exceptions.
- Food must be strictly vegetarian and Sattvic. This applies to everything served, catered or prepared on site.
- All food must comply with OM Hindu Center food policies, and outside caterers require prior approval. Ask before you book one. [Use of the kitchen is subject to availability; the terms have not been set.]
- Smoking and vaping are not permitted inside the facility or in any prohibited area.
- Open flame is limited to lamps and incense used for worship. [State whether candles are permitted elsewhere.]
- Decorations may not be fixed to walls, ceilings or fittings with nails, tape or adhesive. [Name what may be used instead.]
- Amplified music must end by [time], and noise must be kept at a level that does not disturb neighbours or worship elsewhere in the building.
- Children must be supervised at all times.
Afterwards
- The hall must be left as you found it: rubbish removed, floors swept, and furniture returned to its original position.
- Anything left behind will be kept for [period] and then disposed of.
- You are responsible for the cost of repairing any damage caused during your booking. [State how this is assessed and charged.]
Liability
[This section must be written or approved by someone qualified. It should cover who is responsible for injury or loss during the booking, whether the person booking is required to hold their own insurance, and what the centre’s own insurance does and does not cover. Do not publish generic wording copied from another organisation.]
Questions
If anything here is unclear, or your event does not fit these terms, please contact us before booking. We would far rather discuss it in advance.
