Policies

Using the Main Hall

These terms apply to every reservation of the Main Hall. You are asked to accept them when you submit a request.

Draft. Figures shown in [square brackets] are placeholders and have not been agreed. This page must be reviewed and completed by the committee — and read by someone qualified to advise on liability and insurance — before it is relied upon.

Making a reservation

  • A request is not a booking. Every request is reviewed by the centre, and the hall is only reserved once we have approved it and payment has been received.
  • Requests must be made at least [3] days in advance, and no more than [12] months ahead.
  • The hall is booked in fixed periods: morning, afternoon, evening, or the full day. The times of each period are shown on the reservation page.
  • Your period includes the time you need for setting up and clearing away. Please allow for both when choosing.

Payment

  • The full amount is payable once your request is approved. Someone from OM Hindu Center will contact you to arrange payment; there is currently no way to pay on the website.
  • The reservation is confirmed only once payment is complete. Until then the date is held for you but not guaranteed.
  • [State whether a refundable damage deposit is required, and how much.]

Cancellation and refunds

  • Cancelled more than [30] days before the date — [full refund / refund less an administration fee of $X].
  • Cancelled between [30] and [7] days before — [X%] refunded.
  • Cancelled fewer than [7] days before — [no refund].
  • If the centre has to cancel your booking, you receive a full refund. [State whether the centre may need to reclaim a date for a religious observance, and how much notice would be given.]
  • Refunds are returned to the card used for payment and may take several working days to appear.

While you are using the hall

  • Please remove footwear where indicated, and dress modestly — this is a place of worship as well as a hall.
  • The maximum number of people permitted is [capacity]. This is a fire-safety limit and cannot be exceeded.
  • No alcohol, no smoking and no meat may be brought onto the premises.
  • [State the position on outside caterers, and on use of the kitchen.]
  • Open flame is limited to lamps and incense used for worship. [State whether candles are permitted elsewhere.]
  • Decorations may not be fixed to walls, ceilings or fittings with nails, tape or adhesive. [Name what may be used instead.]
  • Amplified music must end by [time], and noise must be kept at a level that does not disturb neighbours or worship elsewhere in the building.
  • Children must be supervised at all times.

Afterwards

  • The hall must be left as you found it: rubbish removed, floors swept, and furniture returned to its original position.
  • Anything left behind will be kept for [period] and then disposed of.
  • You are responsible for the cost of repairing any damage caused during your booking. [State how this is assessed and charged.]

Liability

[This section must be written or approved by someone qualified. It should cover who is responsible for injury or loss during the booking, whether the person booking is required to hold their own insurance, and what the centre’s own insurance does and does not cover. Do not publish generic wording copied from another organisation.]
